Assistant Clinical Placement Coordinator

Job DescriptionPOSITION OBJECTIVEWorking under the general direction of the faculty pre-licensure and graduate student clinical placement coordinators and program directors, provide administrative support with a moderate degree of independence.
In addition, the Assistant Coordinator will support the onboarding and transitioning of students and those providing clinical instruction in clinical settings.
This is a part-time position working 20 hours per week.
ESSENTIAL FUNCTIONS Manage onboarding requirements and activities of students and those providing clinical instruction in order to support clinical placement.
Initiate and follow up on regular and frequent correspondence with students regarding onboarding requirements with attention to deadlines.
Protect the confidentiality of documents, personal health records and communications.
Perform a variety of clerical duties and document preparations with speed and accuracy.
(30%) Review relevant student records and databases to ensure continuous compliance with clinical partner's affiliation agreements.
Maintain compliance records of students and those providing clinical instruction related to immunizations, CPR/first aid certifications, Ohio BCI and FBI criminal checks and fingerprinting, contact information, health and safety education modules, and other clinical site onboarding requirements.
Communicate non-compliance matters promptly to faculty clinical placement coordinators.
Maintain ongoing and updated knowledge of clinical placement sites' onboarding requirements.
(25%) Manage data and uploads in ACEMAPP.
Generate regular reports to identify missing onboarding documents.
Analyze trends based on this data related to the onboarding process.
Provide input on process and procedures improvements to the faculty clinical placement coordinators.
(20%) Provide accurate and timely notification to students and those providing clinical instruction regarding requirements.
Maintain clear and professional verbal and written communication.
Initiate onboarding process as directed by the clinical placement coordinators.
(20%) NONESSENTIAL FUNCTIONS Perform other functions to support nursing programs as assigned.
(5%)CONTACTS Department:
Daily contact with School of Nursing faculty and staff to maintain workflow.
Daily contact with clinical placement coordinators, BSN, MN, and MSN program directors, and departmental staff to maintain workflow.
University:
Frequent contact with other university departments on an as needed basis to exchange information.
External:
Occasional contact with clinical partner nursing education coordinators on an as-needed basis.
Students:
Daily contact with students and instructional personnel to exchange clinical documentation and compliance information as needed.
SUPERVISORY RESPONSIBILITY This position has no direct supervision of staff employees.
QUALIFICATIONS
Experience:
4 to 5 years of related clerical experience required.
Education:
High school education required.
Bachelor's or Associate's degree preferred.
REQUIRED SKILLS Excellent communication skills:
Understanding written sentences and paragraphs in work related documents.
Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.

Ability to access and maintain the approved online platforms for clinical onboarding, including running basic analytics and generating reports to monitor student and those providing clinical instruction.
Ability to generate documents in Adobe, Microsoft Word, PowerPoint, Excel, and Publisher.
Ability to understand the implications of new information for both current and future problem-solving and decision-making.
Ability to operate copy and fax machines to produce documents.
Adhere to all relevant Case Western Reserve University policies and procedures.
Ability to meet consistent attendance.
Ability to interact with colleagues, supervisors and customers face to face.
WORKING CONDITIONSGeneral office environment.
The employee will perform repetitive motion using computer mouse and keyboard to type.
Assignments may be long-term and require the individual to rely on known resources and ability to work independently in task accomplishments.
